4 Reasons the Workplace Isn't Designed for Our Brains

Humans aren’t machines. We have emotions, relationships, creativity, and needs that can’t be measured like a machine’s output. Yet many workplaces are designed as if we function the same way.

Modern offices often assume that placing people in a factory-like environment will produce factory-like results. When we struggle with focus, feel drained, or fall behind, we often blame ourselves, even when our environment is contributing to the problem.

I recently spoke with Sree Mitra, founder and CEO of Q Studio, a leading expert in workplace performance, cognitive skills development, and helping individuals and organizations adapt to the demands of the modern work environment. Through her “Mind Skills” approach, Mitra helps high-performing professionals navigate pressure, adapt to change, and perform at their best. She explains why many modern workplaces conflict with the way our brains are designed to work.

1. The Brain Switches, It Doesn't Multitask

Most workplaces involve a lot of multitasking. For instance, an average office worker might go from answering a phone call about a new project, to updating status on another project, to building a presentation about a third project. This actively works against the way your brain wants to function.

Multitasking takes a significant toll on the brain's ability to focus; each focus switch leaves what one paper calls "attention residue," where cognitive activity about the previous task persists into the new one. This saps the brain's resources.

"The key to productivity is being able to focus on one thing at a time," says Mitra. "Concentration can be trained; you can create conditions that make it easier. When people learn to work in long, uninterrupted blocks of time instead of reacting to every notification, their productivity actually grows over time."

2. Open-Plan Offices May Cause Overload

Many modern offices have moved to open floor plans. Open-plan offices feel like they should be the best option; they make the space feel bigger, and common wisdom says that when you remove barriers between people, they're more likely to interact.

Unfortunately, the evidence doesn't support this. In fact, it states the opposite. Research shows that open-plan offices decrease face-to-face interaction by up to 70% and force more digital communication, and productivity dips.

There's a cognitive load that comes with existing in the same space as a lot of other people, and even something as minor as a cubicle wall can help ease that load. Removing it may feel better from a management perspective, but it doesn't actually work.

3. The Eight-Hour Workday Isn't Really Eight Hours

The eight-hour workday has been a standard for many decades, thanks to labor unions and legislation. A 15-minute break in the morning, a 15-minute break in the afternoon, and a half-hour or hour for lunch is a normal expectation. But this rigid structure doesn't allow for the way our brain works.

The standard workday assumes that people can hold steady focus on a task for hours, but after sustained attention for a long enough period, that focus naturally begins to decline. Literature shows that taking micro-breaks and stepping away from a task for a brief break resets focus and restores energy. Without the flexibility to do this, workers risk burnout.

"When you never let your mind reset, you create cognitive overload," says Mitra. "The brain regulates its focus, emotion, and decision-making in cycles. If you're constantly forcing it to run at top speed, your decision-making and the quality of your work suffers."

4. The Need to Always Be Connected

"Have you tried turning it off and on again?" is more than a computer troubleshooting tip. When a computer goes for a long time without restarting, temporary data builds up, maintenance tasks and updates go undone, and small errors begin to compound. The same is true of the human brain.

With email, instant messaging, and smartphones, work can follow us anywhere, even beyond the workday. There's a constant low-grade stress that comes with increased connectivity. Minimizing your off-the-clock availability for work messages lets your brain "restart" and do upkeep, consolidating memory and fueling creativity.

Action Steps

You can't redesign the office, but you can change how you work within it.

  • Protect your focus: Create blocks of uninterrupted time for important work, and limit distractions when you need deeper concentration.
  • Take short resets: Your attention isn't unlimited. Step away every 60 to 90 minutes, even briefly, to recharge before your energy drops.
  • Create boundaries: Open offices make it easy for work to follow you everywhere. Use headphones, a quiet space, or clear signals with your team to protect your focus.
  • Set a stopping point: Your brain needs time away from work to recover. Decide when you're done for the day, and protect that time.
  • Get outside when you can: A short walk between meetings, a few minutes in the sun at lunch, or a call taken outdoors can restore attention that hours indoors wear down.

The Bottom Line

Most of us can’t escape office life, but we don’t have to blame ourselves for struggling in environments that weren’t built with the brain in mind. However, small changes in how we work, recharge, and create boundaries can help us feel more focused, energized, and in control.
